A line array that arrives with a dented horn is not late — it is useless. Concerts, sports fixtures, and festivals live or die on gear condition, which is why our event logistics UAE service is built around one obsession: protecting staging, AV, and hospitality freight through night moves, tight load-ins, and multi-venue tours across the Gulf.
Freight that has to perform, not just arrive
Trade fairs can absorb a scuffed crate; a live show cannot. Amplifier racks, moving-head lights, LED wall panels, and stage decks are precision equipment travelling in punishing conditions — loaded at midnight, driven between emirates, and rolled across loading docks by crews racing a curfew. The handling standard has to match what the gear does for a living.
That is why this service is run by people who understand show cargo specifically: how truss packs, why LED tiles travel face-to-face in padded dollies, and what happens to a mixing console that rides unstrapped over a speed bump.
Packing show equipment properly
Flight cases exist for a reason, and we treat them as the baseline rather than the gold standard. Anything without a case gets one built around it in effect: foam-lined crates for fixtures, shrink-wrapped and strapped dollies for cable trunks, and edge protection on every stage deck. Loose gear does not board our trucks.
- Every item cased, crated, or dollied — nothing rides loose
- LED panels packed face-to-face with foam interleaving
- Fixtures locked in transit position before casing
- Cable trunks weighed and labelled by stage position
- Load plans built so first-needed gear comes off first
- Straps and load bars at every tier, checked at each stop
Production tip: label cases by where they land on the stage plot — "SR amp world", "FOH", "dimmer city" — not by what is inside. Load-out at 2 a.m. sorts itself when the destination is written on the box.
Night moves and venue timing
Live event freight runs on the venue's clock. Arenas release the dock after the previous event clears; stadium moves happen after final whistle; festival sites open to trucks in marshalled waves. We plan every movement against the promoter's schedule — load-in slot, curfew, and the hard deadline when doors open — and we position vehicles early so the crew is waiting for the dock, never the other way around.
Multi-city runs get route plans with driver changes built in, so a show closing in Dubai on Friday night can be standing in Riyadh or Doha for its next load-in without gambling on a single exhausted driver.
Overnight operations
Crews and vehicles scheduled around curfews, load-outs, and dawn load-ins as standard.
Show-cargo handling
Flight-case discipline, padded dollies, and load plans matched to the stage plot.
On-site coordination
A single freight contact at the dock working directly with your production manager.
What we move
Staging and rigging: truss, motors, decks, barriers, and scaffold for concerts and ceremonies. Audio and lighting: PA systems, consoles, dimmers, and fixture pre-rigs. Video: LED walls, projection, camera platforms. Hospitality and activation freight rounds it out — marquee kits, catering equipment, furniture for VIP villages, and branded fan-zone builds for sports events and festivals.
Distances range from a cross-town shuttle between a Dubai warehouse and a beachfront festival site to full international moves supporting a tour leg in Saudi Arabia or Qatar, with border paperwork prepared in advance so trucks cross on schedule.
How a typical show move runs
| Phase | What happens |
|---|---|
| Advance planning | Stage plot, case list, and venue schedule turned into a load plan |
| Warehouse pickup | Cases scanned against the manifest and strapped by tier |
| Line haul / border | Timed run with pre-cleared paperwork for cross-border legs |
| Load-in | Trucks marshalled to the dock in stage-plot order |
| Load-out / return | Overnight repack, count against manifest, return or onward move |
Throughout, your production office receives live updates — truck departed, border crossed, marshalling, docked — so nobody is calling drivers at 3 a.m. for a location.
Condition on arrival is the whole job
Every case is manifested at origin and counted at the dock, and discrepancies are flagged before the truck leaves, not discovered at soundcheck. For high-value consoles and lens kits we photograph condition at each handover. Insurance is arranged against declared values with cover that spans the storage, transit, and venue phases — because a festival site is not a warehouse, and policies written for warehouses leave gaps.
When something does need attention mid-tour, having one accountable freight partner matters: the same team that packed the truck in Dubai is the team answering the phone in Jeddah.
Production schedule locked?
Send the case list and venue timings. We return a load plan, vehicle count, and price for the full run — load-in to load-out.
Plan your event freight
"Load-out finished at 1 a.m. in Dubai and our full lighting rig was standing at the Riyadh venue dock before the next load-in window opened. The dollies came off in stage-plot order exactly as planned."
Marco B., touring production manager"Two hundred covers of catering equipment for a desert festival VIP village — everything counted, nothing bent, and the trucks hit the marshalling wave on time."
Aisha R., events catering director"Our LED wall travelled to three cities in ten days. Face-to-face packing and photographed handovers meant zero dead pixels claimed all tour."
Tomas K., video systems supplierFrequently asked questions
How must show equipment be packed for transport?
Flight cases or padded dollies for everything — fixtures locked in transit position, LED tiles interleaved with foam, decks edge-protected, and every case labelled to its stage position. If part of your kit lacks casing, tell us at booking and we crate or wrap it before the truck is loaded.
How do we track trucks during an overnight move?
Your production office gets milestone updates on WhatsApp — departed warehouse, border cleared, arrived at marshalling, docked — plus a direct line to the freight coordinator travelling with the move. No chasing drivers at night; the status comes to you before you think to ask.
Do you deliver to the venue dock or only to a depot?
To the dock, in marshalling order, timed to your load-in slot — that is the default. Depot or warehouse handover is available when a production prefers to run its own shuttle, and for cross-border tours we can bond equipment through to the venue rather than clearing it at a port.
What does the receiving crew need to arrange?
Dock access and passes for our crew, a signed-off delivery window with the venue, and someone authorised to count cases against the manifest at handover. For international legs, the promoter's local representative should hold any venue or municipality paperwork the site requires for truck access.
How do booking and payment work for event moves?
Share the case list, venue schedule, and route; we quote the full run including night crews and waiting time so there are no surprise extras. Confirmation locks vehicles and staff to your dates. Payment is typically staged — deposit at booking, balance around show date — with account terms for recurring productions.
